What is expected of you?

  • Welcome clients and visitors, ensuring a professional and friendly first impression
  • Manage the day-to-day operations of the reception area and front office
  • Coordinate meeting room bookings and ensure meeting rooms are prepared and fully stocked for internal and client meetings
  • Support employees with scheduling appointments and general administrative requirements
  • Manage office supplies, stationery, kitchen consumables, and liaise with suppliers to maintain adequate stock levels
  • Coordinate travel arrangements, conference registrations, training sessions, restaurant reservations, and lunch orders
  • Maintain accurate records and update information within the company's internal database
  • Handle incoming and outgoing mail, courier services, and general correspondence
  • Provide administrative and clerical support to the HR and Marketing teams when required
  • Coordinate the maintenance of office equipment and health and safety equipment
  • Liaise professionally with suppliers, clients, and internal stakeholders
  • Support the wider business with additional administrative duties as required

What are you expected to bring?

  • Previous experience in a Front Office, Reception, or Administrative role
  • Strong working knowledge of Microsoft Word and Outlook, with basic knowledge of Microsoft Excel
  • Excellent written and verbal communication skills in English
  • Additional language skills will be considered an asset
  • Strong organisational skills with the ability to manage multiple priorities and meet deadlines
  • Excellent communication and interpersonal skills with a customer-focused approach
  • Professional presentation and a positive, proactive attitude
  • High attention to detail and strong problem-solving abilities
  • Ability to work independently while collaborating effectively within a team
  • Creative thinking and content writing skills will be considered an advantage
